ASSET MANAGEMENT - HUMAN RESOURCES - HR SUPPORT, INDONESIA (1-YEAR CONTRACT) (JOB NUMBER: W011383)


Position Purpose

Support the HR Department to perform a variety of personnel-related administrative tasks. Assist the HR Department and provide clerical support in processing employees’ requests, implementation of HR policies and procedures to create a nourishing workplace and improving the HR functions and services.

Key Responsibilities

  • Internal Client Services
    • Process employees’ requests and provide relevant information.
    • Manage the department’s incoming telephone and address queries accordingly.
    • Assist the department for internal communications.
    • Liaise with Facilities, Finance teams and other department to handle requests and queries Management and staffs.
    • Maintain office policies and procedures and help responding to staff request for information related to HR policies and procedures.
    • Assist for logistic and other arrangement for any HR related events.
  • HR Administration and Policies:
    • Maintain a filing system and correspondence.
    • Assist BAU and maintain datelines on monthly checking and reporting related to vendors
    • Maintain HR contact lists.
    • Assist the department’s research for vendors.
    • Regular reports to Regional HR.
    • Maintain and keeping track on vendor agreement / service contracts related to HR.
  • Training Administration & Support
    • Training room set-up.
    • Supporting training tools, equipment.
    • Booking training room.
    • Printing training materials.
    • Other logistic matters such as hotel booking for trainer, lunch and snacks, etc.
  • Resourcing & On-boarding
    • To assist providing orientations for new employees such as office tour and explaining policies related to HR administration and procedure.
    • To help with the arrangement and schedule for candidate interview and update all involved parties for any information, request needed before the event takes place, including changes on the schedule.
    • Whenever requested, assist liaising with the recruitment agencies, including outsourcing agents, for meeting / appointment
  • Formalities
    • Provide assistance in requesting, collecting and compiling Expatriate documents for visa and working license in Indonesia, including maintain dateline on the expiry dates and renewal process.
    • Liaising with Formalities agent for inquiry of formalities services including submitting the required documents and follow up action/progress.
    • Provide assistance in collecting data, compiling and submitting HR regular reports to local Regulators.

Competencies (Technical / Behavioral)

  • Bachelor degree with additional experience as an Administrative assistant or HR Administration will be a plus
  • PC literacy and experience with MS Office applications
  • Working knowledge of office equipment, like in-focus, printers and fax and copy machines
  • Fair English (verbal, reading and writing)
  • Customer service oriented
  • Good time-management with the ability to multi-task and prioritize work
  • Detailed and accurate
  • Good communication skills
  • Knowledge of local labor legislation would be an advantage

Specific Qualifications/Other Requirements

  • Previous experience work for financial industries would be an advantage
