This function will be reporting directly to the GWS Senior Workplace Manager, and indirectly to Plant Director. This function will be based at Firmenich manufacturing plant at Karawang.
The main purpose of this role is to plan and articulate the routine activities of Workplace services. Execute procedures and respect the plan activities defined by Workplace leadership team, following corporate guidelines, within agreed timeline, with expected deliverables, and within allocated budget.
Key Responsibilities:
Coordinates and monitors one to various elements of the workplace and / or maintenance services provided by supplier:
Site development: manage minor renovation / refurbishment or building extension work
Site maintenance: manage soft services (cleaning service, gardening, pest control, reception service, security service, licensing) and hard services (office maintenance)
Ensures the contractors to respect company culture and values and their performance. Optimizes the delivery of Facilities services locally, including improvement programs and adherence to policy requirements.
Ensures business continuity for critical services and property (including maintenance)
Ensures fulfillment of required services in a timely manner
Oversees and follows up the day-to-day operations (in line with the vision and values) of a building or facility
Prepare contingency plan and service recovery plan to anticipate any service breakdown
Supports the user community in their daily usage of Facilities services.
Manages all purchase orders and related invoices of the department: creation, follow-up, problem solving interaction with suppliers and internal accounting department, reception of goods / services. Lists, calculates the value, books and transfers to Accounting department all cross-charged GWS services.
Manages, schedules and creates local GWS communication (Announcements, Work in progress, etc) and publishes through company communication channel.
Manages move requests by planning interventions and coordinating all interveners. Responsible for maintaining occupancy level data.
Maintain record, collect data and provide any necessary analysis, study or report to Facilities leadership team.
As a key point of entry to the organization, acts with tact, discretion and courtesy at all times. Connect and maintain good relationship with vendors, community, estate management, and related government office.
Having key interaction with multiple stakeholders i.e Administration, Engineering, Purchasing, Finance, HS&E, Quality, HR, Production.
Key Interactions
Ability to collaborate with GWS team members and other business functions within Firmenich to achieve common goals
o Administration: assists senior colleagues by carrying out administrative activities
o Engineering: requests and coordinates interventions of internal Engineering services when their expertise is applicable to support maintenance activities of GWS
o Purchasing: meets with suppliers to evaluate performance and feedback
o Finance: Follows up budget in order to respect the allocated budget
o HS&E: gives the highest priority to the safety and to the protection of the health of our employees and contractors. Follows the H&SE guidelines for each specific site areas and infrastructure requirements (Labs, Offices, Plants, Storerooms). Knowledge about the security routines in terms of intrusion alarm
o Quality: ensures the following of corporate standards by contractors and FTE of Facilities staff
o HR: gives support to events related to employee’s celebrations and communication initiatives

Degree in Civil Engineering - Architecture - Building construction development - Business Administration or equivalent, with the minimum 3 years of experience as Coordinator, and the minimum 5 years of related to Building / Facility Management of works experience
