This person will be supporting the Consumer Healthcare business department and/or be responsible for project teams in its activities . This person also needs to ensure the coordination and the circulation of information, provides support to the team members of Consumer Healthcare.
KEY RESPONSIBILITIES:
1) Administrative Support to General Manager and Senior Leadership team
Provide accurate and timely administrative and support to senior leaders.
Coordinates and manage complex travel arrangement, schedule meetings and process expenses
Manage appointment schedule and calendar by effective planning and scheduling of meetings, conferences, teleconferences, and travel
Provide organization and administrative support for and during meetings
Be the single point of contact for External Administrative vendors eg. Office space lessor, IT vendor, Event organizers etc.
Manage documentation / filing of important documents of the Legal Entity as per statutory requirements
2) Meetings/ Events Planning and Coordination
Develop and execute plans required to support any events or initiative as appropriate, especially in communications, vendor management, contractual requirements, confidentiality agreements, logistical and registration support for participants, onsite meeting / administrative support for internal and external events, including Zoom meetings, etc.
Effectively manage and track important timelines for projects, programs, events, etc.
Initiate request via internal system & follow through till approval stage for events/services e.g. Sanofi e-processes (ie, AED, eCAF, ePR, eBuy, etc).
Work with internal & external stakeholders to create and implement project plans for events (e.g. liaising with hotel, legal and procurement department for contracts)
Purchase Requisition (PR) and Purchase Orders (PO)
Invoice and payment request for all A&P expenses
Occasional travels within SEA to support meetings / events
3) Consumer Healthcare Team Support
Coordinate and work with cross functional teams to support organizational wide activities, which may be assigned time to time.
Act as a focal point for Indonesia Consumer Healthcare for all cross business units or functions activities, which involves participation from Consumer Healthcare Indonesia for all company’s wide activities.
Assists in the new hire pre-onboarding and off-boarding administrative process with the relevant stakeholders.
Assists in fire warden responsibilities
Provide support on any ad-hoc assignments as required from time to time
QUALIFICATIONS:
Experience in supporting Senior Management level or above in multinational companies. Healthcare or consumer goods industry background a plus
Proven track record in event management
Good communication, ability to multi-task, well organized, attention to details
Team player and collaborates well across functions, countries and cultures
Effective communication across countries and functions
Ability to maintain confidential information with discretion and diplomacy
Ability to navigate in a matrix organization.
Proficient skills in Microsoft Programs – MS word, Excel, Power Point, Outlook
Proficient skills in English & Bahasa Indonesia language
